How do 3PLs keep inventory accurate?
Accuracy is not magic. It comes from four habits, run consistently:
1. Every move is scanned
Receiving, put-away, picking, packing, returns, and adjustments all happen through a barcode scan. Nothing moves without the system seeing it. That alone eliminates most of the drift that spreadsheet inventory suffers.
2. Cycle counts replace the annual blowout
Instead of shutting down the warehouse for a full count once a year, the team counts a smaller section on a regular cadence. Discrepancies are caught and corrected between counts, not after a year of drift.
3. Lot and expiration rules are enforced by the system
For supplements, beauty, food, or anything with a shelf life, the WMS picks by FEFO or FIFO automatically. The pick list shows the right lot. The packer cannot grab the wrong one.
4. Exceptions are flagged in real time
Damaged inbound, short shipments, missing labels, mis-picks — all logged the moment they happen, with photos and notes attached. You see exceptions on your portal instead of finding them on a quarterly report.
